🌿 Our Cancellation Policy & Client Agreements

Because healing is sacred, time is valuable, and relationships matter.
At Embodied Healing Center, we don’t do drop-ins or transactional care. We are a by-appointment-only practice, devoted to long-term relationships that support deep transformation. That means when you reserve a session, we hold that time just for you — and we honor it as part of your ongoing healing journey.

📅 Cancellations & Rescheduling

We kindly ask for at least 24 hours’ notice if you need to cancel or reschedule your appointment.
Because we are a small, high-touch business and cannot refill missed appointments on short notice:
🔸 Appointments canceled with less than 24 hours’ notice will be charged the full service fee
🔸 No-show appointments will also be charged in full
🔸 Continued late cancellations may result in a pause or discontinuation of services
🔸 Members will have their monthly service deducted
🔸 Gift Certificates will be deducted the amount of the service
🔸 Credit balances will be reduced by the price of the service

We send email and text reminders before every session with a quick & easy link to confirm, cancel, or reschedule. We’ve made it seamless to stay on track with your care.

🔁 Lateness & Shortened Sessions

Please contact us if you're running late.
Arrivals 15+ minutes late without notice will be marked as no-shows and charged in full.
If time allows, we may offer a shorter session — but full fees still apply.

💳 Credit Card on File

A valid credit card is required to hold your appointment. This card will only be charged for:
• Missed appointments (no-shows)
• Cancellations made with less than 24 hours’ notice

We deeply appreciate your understanding — and your respect for our team’s time and energy.

💬 Communication & Preferences

Your comfort is essential to your healing. Let us know your preferences for lighting, temperature, music, scent, and conversation — or silence — during your session. You deserve a space that honors your needs, and we’re here to co-create it with you.

🗓 Appointment Scheduling

By booking an appointment, you agree to these policies and our terms of service. All services are based on availability. We reserve the right to decline or discontinue services if boundaries or agreements are not respected.

We encourage booking 2-4 weeks in advance to reserve your preferred time and practitioner. Special events or group bookings may require 2 months’ notice.

Walk-ins? Not our vibe. We’re a healing sanctuary, not a pop-in spa — and we reserve each session intentionally. However, same-day sessions may be available if you reach out directly.

⏰ Arrival Time

We recommend arriving 5–15 minutes early. Intake forms are sent ahead via email and text — completing them before your session makes check-in smooth and grounded. 

Early? Enjoy our beautiful view, enjoy some chocolate and spa water or simply relax in our seating area and tune inward.

🤫 Center Etiquette

To preserve the peacefulness of our space:
• Please silence your phone
• Speak quietly while inside
• Arrive freshly showered or in clean clothing
• Use our complimentary in-room hygiene station: towelettes, deodorant spray, mints, and other items available

📦 Packages & Memberships

• All plans, memberships, and credits are non-refundable and non-transferable
• Five-pack sessions expire 5 months from purchase
• Membership credits roll over for up to 2 months
• After cancellation, any remaining credits are valid for 60 days

Health & Wellness Disclaimer

Our services support your holistic wellness but do not replace medical or psychological care. Please consult your physician if you have concerns or conditions that may be impacted by bodywork, breathwork, or somatic sessions.

⚕️ Health & Medical Conditions

Transparency keeps you safe. Let us know about medical conditions, injuries, allergies, or recent surgeries when you book. We customize every session and need to know how best to serve your body.

👧 Age Requirements

Clients under 18 must have a Minor Consent Form signed by a parent or guardian. Children must be accompanied by an adult and must stay in-room for the duration of the service.

💳 Payment, Gratuities & Credit Cards

We accept all major credit cards, checks, gift cards, and cash.
Gratuities are never expected but always appreciated — industry standard is 15–30%.

• No-show
• Cancellation with less than 24 hours’ notice

🎁 Gift Cards

Gift cards may be used for services or retail, but are non-refundable and have no cash value. Treat them like gold — they’re tokens of healing!

👜 Personal Belongings

Please leave valuables at home. We are not responsible for lost or stolen items.

🚫 Right to Refuse Service

We reserve the right to refuse or end any session if a client displays:
• Inappropriate behavior
• Intoxication
• Boundary violations
• Aggression
• Lack of respect for our policies or team

📝 Intake Forms

Required annually, or after a major health change. Forms are sent electronically and must be completed before services can be rendered. Please note that Florida Law requires legal first and last name, address and date of birth that matches your driver's license. We are required to 'confirm' identity of clients and may ask you to confirm information at your first visit with us. We're not being nosy, we're being ethical.

🌸 Disrobing & Draping Policy

You may undress to your level of comfort. You will be professionally draped at all times — only the area being treated will be uncovered.

🧴 Oils, Aromatherapy & Sensitivities

We use essential oils and various massage oils during treatment. If you have scent sensitivities, please let us know. While we do our best to accommodate, we cannot guarantee a fragrance-free environment.
Bringing a clip or tie for your hair is recommended if you prefer it to stay oil-free — though some contact may still occur during treatment. You may ask for a towel for further protection, if desired.

💻 Privacy Policy

Your personal information is kept confidential and secure. We use it only to deliver services, communicate with you, and improve your experience. You may request to view, update, or delete your information at any time.

💬 Satisfaction Policy

We aim to exceed your expectations. If you are dissatisfied with your experience, please contact us within 48 hours. We may offer a follow-up phone call or resolution on a case-by-case basis. Preference-based concerns (pressure, style, etc.) are best addressed during the session so we can adjust in real time.

About Membership at Embodied Healing Center


Q: What’s included in the “Wellness Infusions” aka Add-Ons?
A: Wellness Infusion Add-Ons are premium enhancements designed to elevate your session — and your nervous system. These may include CBD oil, hot stones, cupping, nervous system recalibration, mini-lymphatic prep, or other therapeutic add-ons tailored to your needs. You’ll be able to request your preferred infusion at the time of booking.

Q: What if I miss a month? Do sessions roll over?
A: We allow unused sessions to roll over for up to 2 months — after that, they expire. We do this to support consistent care (and because your body does better with rhythm than random rescue sessions!).

Q: Can I pause my membership?
A: Yes — we honor real life! You may pause your membership for up to 2 months per calendar year due to travel, illness, or unexpected life stuff. Just text or call us at least 14 days before your next billing cycle. Please do not email!

Q: What’s the cancellation policy?
A: You may cancel anytime with 14 days' notice before your next billing cycle. Unused credits will remain active for 60 days after cancellation. We aim for freedom, not fine print.

Q: Can I share my membership with a friend or family member?
A: Memberships are designed for individual healing journeys and are non-transferable. However, members receive discounts on additional services, so you can book an additional service and bring your people along for the ride! Better yet, buy a Gift Certificate for them during one of our Member Days!

Q: What if I need more than one session per month?
A: We’ve got you! Members receive 10% off up to two additional services depending on your tier. Book what you need, as you need — your membership just makes them more affordable.

Q: What’s the difference between Rooted, Radiant, and Expansion?
A:
  • Rooted is perfect for steady, monthly maintenance. Rooted Plus grants you a 90 minute service.
  • Radiant gives you double the support, priority perks, and seasonal surprises with two monthly services. Radiant Plus grants you two 90 minute services.
  • Expansion is our premium weekly mentorship tier for those ready to dive deep with overcoming their chronic challenges and wanting high-touch support. (Limited number of spots for these! Please call for availability)

Q: What if I’m not ready for a monthly membership?
A: Totally understand — everyone’s healing rhythm is different. If you're not ready to commit monthly, we also offer carefully curated 5-session packages that give you flexibility and savings without the full membership commitment.
